We are currently searching for an Intellectual Property Administrative Assistant to provide support in our Worcester, MA location. This dynamic position will provide administrative support to one or more Intellectual Property Lawyers in managing their intellectual property practices, including the procurement of US and foreign patent applications, litigation management, agreement review and counseling. Will also include the preparation of legal documents required for patent filings, managing office actions from the USPTO, providing administrative support to the Law Department (and IP Shared Services group in particular), patent due date docketing and maintaining Law Department databases. The position will also involve regular project work, on an assigned basis, which may include the preparation of management reports relating to the company's intellectual property law function and conducting online research.

This position will require a high degree of problem solving, as the intellectual property law practice is governed by very precise and unforgiving practices and procedures established by the USPTO (and foreign patent agencies). The individual must be proactive in identifying key actions and communicating on a regular basis with each intellectual property lawyer to ensure that all required actions are taken on a timely basis to protect the company's legal rights.

Requirements:

A minimum of six years of administrative assistant experience is required. Extensive administrative support experience in a legal setting, preferably in patent and intellectual property law would be preferred. This position requires a person familiar with intellectual property language and law, particularly patent law and USPTO rules; extensive experience in preparing and processing paperwork for patent attorneys; proficiency with software such as word processing, database and spreadsheet applications; and experience maintaining legal dockets.

This position requires strong follow-up skills, prioritization skills for meeting statutory deadlines and handling workload; a strong attention to detail and adherence to exacting professional standards; strong organizational skills; the ability to handle multiple tasks at one time; excellent interpersonal skills; strong verbal and written communication skills; and the ability to interact with all levels of organization, inside and outside counsel (foreign and domestic) in a positive and professional manner. In addition, this position will involve the handling of confidential or sensitive information from time to time and requires a person with integrity and an ability to maintain the confidentiality of matters being handled in the office.
